This is how LocalLetters handles information: what we collect, why, who else sees it, how long we keep it, and how to get it changed or deleted. Plain words, no tricks. If something here is unclear, text us.

Who we are

LocalLetters is run by [LEGAL ENTITY NAME], [MAILING ADDRESS]. When this page says “we” or “us”, it means them. You can reach us by text at 715-817-2116 or by email at [EMAIL].

What we collect

  • What you type into this site. When you check a zip or ask us to get back to you, we get your name, business name and address, phone, email, the zip you asked about and your trade. The one-time send form also takes what the mailing is about and any note you add. The zip check sends just the zip code to a free public lookup (zippopotam.us) to find the town name.
  • Your account. Your login email and the details you give us in the app: business name, return address, the messages you write, and your settings. Passwords are handled by Google’s Firebase sign-in; we never see them.
  • Payment. Stripe takes your card. We get back who you are as a Stripe customer, your plan and whether payments went through. We never see or store your full card number.
  • Your handwriting. The handwriting sheet (and signature) you upload, and the handwriting we build from it so the pen can write in your hand.
  • The people we mail. To write to households that just moved into your area, we buy new-mover records (names and mailing addresses) from data providers. If you give us a list for a one-time send, we get the names and addresses on it.
  • Basic logs. Like any website, our servers record technical details of requests (such as IP address and browser type) to keep the service running and stop abuse. We may use Plausible to count visits to this site; it uses no cookies and doesn’t follow you around the web.

How we use it

  • To write, address and mail your letters, and to run your account.
  • To bill you through Stripe.
  • To get back to you when you ask us to, and to send you account emails (setup, password links, what’s going out, problems that need you).
  • To keep our promise that no household hears from two businesss in the same trade through us, which means keeping a record of which households have been written to, and for whom.
  • To prevent fraud and abuse, and to meet legal obligations.

We don’t sell your information. We don’t use your handwriting for anyone but you. We don’t use the addresses we mail for anything except your mail.

Who else sees it

Only the companies we need to run the service, and only what they need:

  • Stripe processes payments.
  • Google Cloud and Firebase host the app, its database and sign-in.
  • Our email provider delivers the emails we send you.
  • The U.S. Postal Service sees what any mail carrier sees: the name and address on the envelope.
  • New-mover data providers sell us the records we mail. We tell them which zip codes we need; we don’t send them your details.

We may also share information if the law requires it, to protect someone’s safety, or as part of selling or merging the business (in which case this policy keeps applying to it).

How long we keep it

  • Inquiries from this site: until they’re no longer useful, or sooner if you ask.
  • Account details, messages and handwriting: while your account is open, and for a reasonable time after you cancel in case you come back. Ask and we’ll delete your handwriting and account data, except what we must keep.
  • Recipient details on finished mailings are removed on a schedule after the mail goes out (30 days by default). We keep a record of which households were written to, for whom and when, so the one-business-per-trade promise holds.
  • Billing records: as long as tax and accounting rules require.

Your choices

  • Ask to see, correct or delete what we hold about you. Text or email us; we’ll answer within 30 days. We may need to confirm it’s you, and we may have to keep some records (billing, for example).
  • Got a letter from us and don’t want more? Send us the address it came to and we’ll stop mail from all of our clients to it.
  • Depending on where you live (California, for example), you may have other rights under local law. We honor these requests whether or not the law requires it.

Security

We use reasonable safeguards: encrypted connections, access limited to the people who run the service, and well-known providers for payments and hosting. No system is perfect; if something goes wrong that affects you, we’ll tell you.

Children

LocalLetters is a service for businesses. It isn’t meant for children and we don’t knowingly collect information from anyone under 16.

Changes

If we change this policy we’ll update the date at the top. If a change matters to customers, we’ll email them before it takes effect.
